This Privacy Policy applies to the 389 Konvene mobile applications (including the attendee app and the scan app) made available on Google Play and related distribution channels. The apps are operated by 389 Group Ltd (“we”, “us”, or “our”).

This policy does not replace the privacy policy for the 389 Xperience marketing website. It covers personal data processed through the Konvene mobile apps and related event services.

Who we are

389 Group Ltd provides 389 Konvene as closed-event management software for conferences, AGMs, board meetings, and similar gatherings. Event organisers configure and run events; attendees and staff use the apps to participate in or operate those events.

Information we collect

Depending on how an organiser configures an event and how you use the apps, we may process:

  • Account and profile details — such as name, email address, organisation, job title, and other fields the organiser requests for registration or check-in.
  • Event participation data — registration status, ticket or badge details, session attendance, check-in timestamps, and similar operational records.
  • Device and technical data — device type, operating system, app version, and diagnostic information needed to keep the apps secure and reliable.
  • Permissions you grant — for example camera access on the scan app to read QR codes or barcodes at the door. We do not use the camera for unrelated purposes.
  • Support correspondence — messages you send to us about the apps or an event.

Organisers may also upload or enter attendee lists and related content for their events. In those cases the organiser is typically the primary controller of that data; we process it to provide the Konvene service.

How we use information

We use personal data to:

  • Provide and operate the 389 Konvene apps and event services
  • Authenticate users, check in attendees, and support on-site operations
  • Maintain security, prevent abuse, and troubleshoot issues
  • Communicate service notices and respond to support or legal requests
  • Improve the apps and related infrastructure

We do not sell your personal data.

Legal bases

Where applicable law requires a legal basis, we rely on performance of a contract (providing the event service you or your organiser requested), legitimate interests (secure and reliable operation of the apps), and consent where we ask for it (for example optional device permissions).

Sharing

We may share personal data with:

  • The event organiser that invited or registered you, so they can run the event
  • Service providers that host infrastructure, deliver email, or support the apps, under appropriate agreements
  • Authorities when required by law or to protect rights and safety

Retention

We retain personal data for as long as needed to provide Konvene services for an event, meet legal and accounting obligations, resolve disputes, and enforce our agreements. Organisers may control how long event records are kept within the product settings we provide.

Security

We apply technical and organisational measures appropriate to the nature of the data and the services we provide. No method of transmission or storage is completely secure; please use strong credentials and protect your device.

Children

The Konvene apps are intended for event attendees and staff in professional or organised event contexts. They are not directed at children. If you believe we have collected a child’s data inappropriately, contact us using the details below.

Your rights

Depending on where you live, you may have rights to access, correct, delete, or restrict processing of your personal data, or to object to certain processing. To exercise these rights, contact us at the email below. If your data was submitted through an organiser, we may need to coordinate with that organiser.

International transfers

We may process and store data in Malawi and other countries where we or our providers operate. Where required, we take steps to protect personal data transferred across borders.

Changes

We may update this Privacy Policy from time to time. The “Last updated” date at the top of this page will change when we do. Continued use of the apps after an update means you accept the revised policy where permitted by law.
